Divide the active contributors in proper teams #20

Since the number and scale of things which needs to managed is growing day after day, it should be better if the people are divided into proper groups, like

  • Design Team : Works on the posters and other design related tasks.
  • Sysadmin Team : Manages the domain and servers related to ilugd.
  • Promo Team : Manages the social media ( Twitter, FB, Youtube ) and mailing lists.
  • Proposals Team : Checks talk proposals and keeps up with the speakers.

These are just some examples we can add or remove from the list. The teams won't be exclusive and right now I guess we can divide teams based on the prior type of contributions. After deciding the teams, if some one new wants to join, they can do so by contributing regularly, 😄

May be it's bit late for a reply, but I will share the division group I have planned. Of course the teams I am listing will be an addition to the one shared by @hellozee. Based on the updates regarding management of domains and finance, I am updating my previous list by adding one more team, Logistics

Teams:

  • Event Management
  • Talk Management
  • Social Media
  • Sponsorship and Collaboration
  • Logistic Management

Responsibility for each team:

Talks management:

  • Scheduling talks based on the theme and order based on the relativity between 2 talks
  • Quality delivery of talks by checking the slides and speaker rehearsals

Event Management:

  • Food arrangement
  • Scheduling talks with other activities
  • Power and Internet
  • Special occasion such as birthday meetups and highlighted events
  • Structuring the layout of meetup (Intro, talks, lightning, networking break, talk, pitching, feedback, next meetup announcement)

Sponsors and collaborators:

  • Call for sponsors
  • Call for collaboration

Social Media:

  • Marketing/Promotion via Twitter, Facebook, Mailing List
  • Posters Designs for each event --> Can be re-tasked to Design team
  • Each gatekeeper promoting their project, for the summer projects
  • Promotions of the following is optional:
    • Personal projects from community members
    • Linux challenge of the week
    • about existing OSS projects like freedom box, Jitisi meet, in essence sharing about more FOSS tools everyone can use.
  • Promoting the event specific hashtags with the attendees for better outreach and later analysis

Logistic Management:

  • To manage the domain renewal, mailing list hosting and other website related logistics.
  • Manage and keep track of finance, donations/support and expenses on the server/domains etc. for which I suggest using a tool such as Open Collective.
  • To think of methods to keep the community funded, so that in future we can support makers in our community for their project.

I am sorry, I won't be available for the task for few weeks. I will shout out in the group for new volunteers and help them to work the task .

Also you can add @insaaniManav to the promotion/Social Media team. As I have shared the access to GCal with him and for twitter as well. I will help him if needs any for the task/
