Instructions for publishing specimens

These steps should be followed every week on Wednesdays and Thursdays from 13:00 - 16:00. Alternatively, use your own schedule - but it is IMPORTANT to set aside regular time for this task.

Step 1

Take your laptop to a suitable location in the herbarium with a large table, and plug in the scanner. How do I install the scanner?

Step 2

Take out a number of specimens - between 50 and 200 - from the same genus from your herbarium, place them on the table next to your scanner.

Step 3

Carefully take the first specimen on the pile, and attach a QR code sticker. Where do I get QR code stickers?. Why do we need QR codes on our specimens?. What are UUIDs?

Step 4

Place the specimen (which now has a QR code sticker) on the scanner mat, and take a picture. Note the file save location. How do I take a picture? What scanner settings should I set?

Step 4

Place the scanned specimen onto a new "Finished" pile. Repeat steps 2 - 4 until all specimens are photographed.

Step 5

Pack away your "Finished" pile of specimens carefully. Unplug the scanner from your laptop, and store the scanner carefully.

Step 6

Move your laptop to your office or any location where you have internet access.

Select the correct folder for your institution. Create a folder, name it according to the genus you have images for, e.g. "Vulpia". Keep this folder open, and then drag and drop your images into the folder. Wait until the images have all loaded before closing your browser, or navigating away.

Finished

You have now completed the publication process.

We have a script which processes the images, renames them and moves them to a different your location. If you refresh the folder, you will see your images disappearing. When there is a problem with the image, we do not move it but keep in the folder to investigate. Please do not upload the same images twice if they seem to "disappear" from your folder.
