Situation: We want to avoid AI-generated images and make use of authentic photos and videos from past events to be more on-brand in our marketing
Problem: we currently don't have a system for storage, uploading, and sometimes images are missed, or scattered in different places, there is ambiguous consent tracking, and having enough images to cover our promotional needs, there is also limited team participation in capturing or sharing photos.
Hypothesis: Centralizing image storage with a clear workflow for capturing and sharing images, we can build a reliable, authentic library. Review and establishing consent protocols.

Situation
We want to stop using AI generated images
We have had some good images and videos from the events and residencies available from 2024
Some photos, but not all, are available and/or shared on the Googledrive
Problem
No central, well-ordered folder for images; the current setup is scattered and disorganised, making it hard to find usable images.
Some relevant images may not be stored on the shared Google Drive, and there’s no clear process for adding them or even knowing they exist.
It’s unclear if people featured in some of the older existing images have given consent for public use.
We lack certain types of images needed for our 2025 promotional material and newsletters, or enough variety
The hub and Life Itself team and are generally bad at taking photos, and/or uploading them centrally which limits the pool of available visuals.

Steps
Setting up a well-structured folder on Google Drive for image storage
Collecting and curating existing images from the team and shared drives
Establishing consent protocols for image use (or checkings ones already in place)
Identifying gaps in the image library and determining priorities or when stock or AI images can be used, if at all
Creating and rolling out a simple workflow for capturing and uploading new images to the team
